Hyland Software is a member of the Oracle® PartnerNetwork and has received official validation from Oracle for its integration with the Oracle E-Business Suite 11i. Validation through the Oracle PartnerNetwork Application Integration Initiative gives customers confidence that integrations between Oracle Applications and complementary ISV solutions have been validated and the products work together as designed. This can reduce risk, improve system implementation cycles, and provide for smoother upgrades and simpler maintenance. Validation through this initiative is available to qualifying partners in the Oracle PartnerNetwork, and applies a rigorous technical process to review the integrations of third-party software to Oracle Applications products. Oracle (NASDAQ: ORCL) provides tools, resources, and training to assist partners in the integration.

What versions of the Oracle E-Business Suite can you integrate with?

OnBase’s integration with Oracle E-Business Suite is designed to work with Oracle 11i and up.

OnBase’s integration with Oracle E-Business Suite is not limited to any individual Oracle E-Business Suite module or function. OnBase supports two levels of integration: Content Enablement from Oracle E-Business Suite and Systematic Process Automation, or data exchange.

Content Enablement via OnBase Application Enabler (AE) gives Oracle E-Business Suite users access to supporting content that resides in OnBase directly from their familiar Oracle E-Business Suite forms. This includes the ability to:

  • Retrieve supporting content and images associated with the Oracle E-Business Suite form
  • Import content and automatically index the content leveraging the data from the Oracle E-Business Suite screen
  • Retrieve dynamic folders containing supporting content
  • Create e-forms
  • Initiate OnBase workflows
  • And more

For example, a user accessing a voucher in Oracle E-Business Suite will be able to access not only the initiating invoice image but also any other supporting content, such as the purchase order image, packing slip, vendor contact, or any other pertinent information that will help the user with their business process.

Application Enabler allows OnBase to enable virtually any Oracle E-Business Suite page for document retrieval and document management functionality without programming and has two options that can be leveraged.

The first feature of Application Enabler requires a client-side installation. It takes advantage of programming standards to interrogate and use the information from Oracle E-Business Suite, sometimes referred to as a “screen-scraping” methodology. The user would simply execute the designated event while on the Oracle E-Business Suite page (such as a left double mouse click), and the corresponding OnBase content would be presented. In most instances, the configuration of the client installation of Application Enabler is very minimal and in some cases can be done in a matter of minutes by someone familiar with the product.

An added function of Application Enabler allows an embedded button to be added directly to any Oracle E-Business Suite screen for a tighter integration. This button would be a simple bolt-on that would provide an intuitive way for a Oracle E-Business Suite user to interact with OnBase content. This capability would present the content to the user via a web client so that minimal to no client side installation would be required. Once the button is placed onto the Oracle E-Business Suite screen, point-and-click configurations map the Oracle E-Business Suite data elements to the OnBase data elements (keywords.)

Systematic Process Automation allows OnBase to send information/data that has been captured in OnBase (via OCR functionality, look-ups, or manual entry) to Oracle E-Business Suite to automate the process of creating transactions, such as voucher creation. This data automation can be accomplished in several ways.

If the customer wants a less direct, loosely integrated way of integrating at a data level, OnBase provides the ability to create a flat file for the customer to leverage and ingest into the Oracle E-Business Suite via the Oracle Open Interface Tables.

Another option would be to leverage the OnBase Unity API to update the Oracle Open Interface tables. It allows OnBase to communicate with the Oracle E-Business Suite Open Interface Tables via direct SQL inserts with both incoming messages as well as outgoing messages (such as Oracle E-Business Suite messages to update the metadata/keywords/status on the OnBase image).

Common examples include pushing AP invoice information from OnBase to Oracle E-Business Suite to send data to the AP_INVOICE INTERFACE table and the AP_INVOICE_LINES_INTERFACE to stage invoice data directly into those tables to so Oracle E-Business Suite can run the batch process to create invoices automatically.

The integration also helps to eliminate the risk of error and reduce the cost of paper storage, while providing a secure content repository that supports the Oracle E-Business Suite as a system of record. Across various business units, functions and roles, the integration between OnBase and the Oracle E-Business Suite can translate into improvements in cash flow, customer service, supplier relationships and the organization’s ability to recruit the most desirable candidates ahead of the competition.
